Missed call text back

Missed call text back for med spas

Missed call text back sends an automatic text to anyone whose call your med spa didn't answer, within seconds, from the number they called. The caller gets a reply while they're still deciding, and the conversation moves to text until they book. In our team's data, only 21% of missed callers ever call back. With text-back in place, 46% of missed calls became conversations.

The problem

Why missed calls cost a med spa more than most businesses

Med spa phones ring at the worst times: during a treatment, at checkout, after close. Before automation, the median clinic in our team's data missed 31% of its calls. Most of those callers never try again.

Callers don't call back

Only 21% of missed callers called back in our team's data. A voicemail greeting doesn't change that much. The caller has already opened the next clinic's website.

They book somewhere else, fast

When our team surveyed 2,310 lost leads, 52% had booked with another clinic within seven days. A call is the warmest lead you get, and it goes cold quickest.

Speed decides who books

Across 186,400 leads, people who got a reply in under a minute booked at 41%. After 4 to 24 hours, 9%. A missed call with no reply is the slowest response of all.

Our missed-call data

What missed call text back changed across our team's clinics

Each row is a separate measurement across a different group of clinics, so the gains don't simply add up. Text-back recovers the call you missed. An AI receptionist stops the call being missed in the first place.

Of every fix our team measured, missed-call text-back had one of the best returns on effort. It took about an hour to set up, added a median $9,800 in revenue in the first 90 days, and paid back in about four days.

Methodology: before = a clinic's first 90 days, after = months 4 to 6. Figures are medians across clinics, January 2024 to June 2026. Full method and limitations are in our med spa speed-to-lead study.

How it works

How missed call text back works at a med spa

The idea is simple. The details decide whether the text starts a booking or gets ignored.

1. The call goes unanswered

The front desk is with a patient, the line is busy, or the clinic is closed. The phone system marks the call as missed and the workflow starts.

2. A text goes out in seconds

From the same number they called, so the caller knows who it is. It names the clinic, says why you missed them and asks one simple question.

3. The conversation moves to text

The front desk or an AI receptionist answers the reply, offers real open times and books the visit. Existing patients asking to reschedule go straight to your team.

4. A person follows up

A call-back task lands with your front desk at the same time. If there's still no reply, one follow-up text goes out the next day, then the sequence stops.

Text and call together beat either alone. In our team's first-touch data for new leads, a text within 10 seconds plus a call within 2 minutes booked 38%. A text alone booked 27%, a call alone 24%. That's why the text-back starts the conversation and a call-back task follows.

Message examples

What a missed call text should say

This is the shape of the sequence we build, not a fixed script. Change the wording to sound like your clinic. Keep treatment details and health information out of texts.

During open hours, within seconds

"Hi, this is {clinic}. Sorry we missed your call, we're with a patient. What can we help with? You can also pick a time here: {booking link}. Reply STOP to opt out."

After hours, within seconds

"Hi, this is {clinic}. We're closed right now and open again at {time}. Reply here with your question and we'll get back to you, or book a time: {booking link}."

When they reply

"Thanks! Is this about a new treatment or an appointment you already have?" New enquiries get open times. Existing patients go to the front desk.

Next day, if no reply

"Hi, it's {clinic} following up on your call yesterday. Want us to hold a time for you this week?" Then the sequence stops.

  • Send it from the number they called. A text from an unknown number reads like spam.
  • Ask one question. "What can we help with?" gets more replies than a paragraph about your services.
  • Be honest after hours. Don't promise a call "shortly" when nobody is in until morning.
  • No promotions in the first text. The caller asked to talk to you, not to get an offer.
  • Stop when they book or opt out. STOP replies must suppress further texts, not just raise an inbox alert.

Before you switch it on

What a med spa needs in place first

  • A text-enabled business number. Ideally your main clinic number, so the text comes from the number patients already have saved.
  • A2P 10DLC registration. US carriers require it for business texting from a standard 10-digit number. Twilio's documentation puts it plainly: "Anyone sending SMS/MMS messages over a 10DLC number from an application to the US must register for A2P 10DLC" (Twilio). Unregistered texts get filtered and charged extra fees.
  • Somewhere for replies to land. Replies need an owner: a shared inbox in your CRM with a named person on shift, or an AI receptionist that can book.
  • A booking link that shows real availability. If the link offers times your providers don't have, you've traded a missed call for a cancelled appointment.
  • A privacy check. Keep medical questions out of text and hand them to your providers. Ask your compliance advisor whether HIPAA applies to your clinic and which tools need a business associate agreement.

Texting rules depend on the message and your state. This is a summary, not legal advice. Have your attorney review your texting setup.

Text-back or AI receptionist?

Missed call text back vs an AI receptionist

They solve different parts of the same problem, and they work well together: the AI receptionist answers what it can, and text-back catches whatever still slips through.

Missed call text back

Recovers calls after they're missed. Quick to set up, cheap to run and the fastest win for a clinic that misses a lot of calls. The weak spot: 54% of missed calls in our team's data still didn't turn into a conversation.

AI receptionist

Answers the call itself, on the first ring, and books on the call. Calls answered went from 69% to 97% across 58 clinics. In our first-touch data, an AI conversation that books directly converted 41% of leads. See how we build an AI receptionist for med spas.

Glow Theory Laser & Skin: missed calls from 38% to 3%

Glow Theory is a laser and skin clinic in Vancouver, British Columbia. Our team ran Meta ads plus the CRM and automated follow-up. This was work led by our team, shared with the clinic's consent.

Canadian clinic; CAD figures converted at 0.73 USD. Before = the clinic's first 90 days, after = months 4 to 6. Missed calls fell alongside the ads, CRM and follow-up changes, so the gain can't be credited to text-back alone. Laser shoppers compare clinics, which is why answering matters so much in laser hair removal marketing.

How we build it

How we set up missed call text back for med spas

1

Measure the leak

We pull your missed-call rate by hour and day, and check how many of those callers ever booked. That shows what the missed calls cost you.

2

Build the flow

Text-back in seconds, open-hours and after-hours wording, call-back tasks, stop rules and opt-out handling, all inside your CRM. We build it in GoHighLevel and connect your booking calendar.

3

Report on bookings

Each month you see calls missed, missed calls recovered and how many of them booked, not just how many texts went out.

Where it fits

Text-back is one part of fast follow-up

Missed-call text-back runs inside your med spa CRM, next to instant replies to form leads, reminders and rebooking. It covers the phone. Our guide to building a med spa lead follow-up system covers the rest of the first response, from routing to stop rules.

A recovered call still has to show up. Reminders and a card-on-file policy are covered in how to reduce med spa no-shows. Callers you lost months ago can still come back through med spa patient reactivation.

As a med spa marketing agency, we run the ads, the AI receptionist and the follow-up together, and we report on booked consults, not calls.

FAQ

Missed call text back questions

What is missed call text back?

Missed call text back is an automation that sends a text to anyone whose call you didn't answer, within seconds, from the number they called. It invites the caller to reply or book online, so the conversation continues by text instead of ending at voicemail.

Does missed call text back work for med spas?

In our team's data, yes. Across 81 clinics, missed calls turned into a conversation went from 0 to 46% after text-back was added. Without it, only 21% of missed callers called back.

What should a missed call text say?

Name the clinic, say why you missed the call, ask one simple question and include a booking link. After hours, say when you're open again. Keep treatment details out of the text and let the caller opt out.

Is missed call text back the same as an AI receptionist?

No. Text-back recovers calls after they're missed. An AI receptionist answers the call in the first place and books on the call. Text-back is quicker to set up; an AI receptionist catches more callers. Many clinics run both.

What do I need before turning it on?

A text-enabled business number, A2P 10DLC registration for business texting in the US, a person or AI receptionist to answer replies, and a booking link that shows real availability. Have your attorney review your texting setup.

How much does missed call text back cost?

It depends on your phone setup, call volume and what else it connects to. We share exact pricing after a free audit.
