Med spa patient reactivation

Med spa patient reactivation: bring dormant patients back

Patient reactivation is a campaign that contacts patients who haven't been back in a while and invites them to book again. For a med spa, it's usually the fastest revenue you can find, because these people already know your clinic and your providers. Across the 66 clinics our team measured, a database reactivation campaign rebooked 7.9% of dormant patients.

The problem

Why med spa patients go dormant

Most dormant patients didn't leave unhappy. Nobody asked them back at the right time, so they drifted to whoever did.

No rebooking prompt

Toxin wears off, a facial series ends, a laser package has sessions left. Without a reminder, patients wait until they remember. Before automation, 41% of patients in our team's data returned on schedule.

The list sits unused

Most clinics have years of past patients, unsold consults and old leads in their booking system. Nobody has time to work it, so it stays there.

Promos train patients to wait

A blast with a deep discount brings some people back, then teaches them to wait for the next one. In our team's data, deeper discounts dropped close rate 9 points and repeat rate 14 points.

Our reactivation data

What reactivation and rebooking changed across our team's clinics

Reactivation wakes up the patients you've already lost. Rebooking on the treatment cycle stops the next group going dormant. We measured both.

At the median clinic, the reactivation campaign went out to 2,140 dormant contacts, rebooked 169 of them and collected about $61,000 in 30 days. It took about a day to set up and paid back in about a day, one of the best returns on effort our team measured. Treatment-cycle rebooking took about a day to set up and added a median $22,600.

Methodology: before = a clinic's first 90 days, after = months 4 to 6. Figures are medians across clinics, January 2024 to June 2026. Revenue depends on your list size, how long patients have been away and what you sell. Full method and limitations are in our med spa speed-to-lead study.

Segments

Who to include in a med spa reactivation campaign

One message to the whole database is a blast, not a campaign. We split the list first, because each group needs a different reason to come back.

Past patients, by last treatment

Group by what they had and when. A toxin patient past their usual interval needs a different message from a facial patient who stopped after one visit. Your providers set the intervals.

Unfinished series and packages

Patients with laser, microneedling or facial sessions left on a package. The message is a reminder of what they already paid for, not a sales pitch.

Consults who didn't buy

People who came in, heard the plan and left undecided. Our consult follow-up lifted buyers within 30 days from 8% to 21% across 42 clinics, so older unsold consults are worth a second look too.

Leads who never booked

Old enquiries from ads, calls or your website. They know your name, not your clinic. Treat them as a separate, lighter segment.

Leave some people out. Anyone who opted out, anyone with an open complaint, and anyone your providers flag for clinical reasons. Contact data that's years old needs a check before you text it.

The campaign

How to run a database reactivation campaign

1

Clean the list and check consent

Export patients and leads from your booking system, remove duplicates and opt-outs, and confirm who agreed to receive texts and emails. Only message people who said yes.

2

Segment and write the messages

One short, personal text per segment, from a named person at the clinic. Email can carry the detail, like what's new or a provider's note.

3

Send in batches, answer fast

Send in batches your team can handle. Replies come in quickly, and a reply answered hours later books far less often. An AI receptionist or a staffed inbox answers and books.

4

Follow up, then stop

A second touch for people who didn't reply, and a call for anyone who replied but didn't book. After that, the sequence stops. Nobody wants a tenth text from a clinic.

5

Book and remind

Reactivated patients get the same confirm-by-reply reminders as new bookings, so the revenue actually shows up.

6

Put rebooking in place

Once they're back, treatment-cycle rebooking keeps them from going dormant again. Otherwise you'll be running the same campaign next year on the same people.

Message examples

Reactivation texts that sound like a person

These show the shape of the messages we build, not the exact scripts behind our numbers. Keep them short, sign them with a real name, and keep treatment details out of the text. Patients know what they had.

Past patient, past their usual interval

"Hi {first name}, it's {staff name} at {clinic}. It's been a while since your last visit. Want me to find you a time with {provider} this month?"

Sessions left on a package

"Hi {first name}, it's {staff name} at {clinic}. You still have sessions left on your package. Want to pick up where you left off? Here are some open times: {link}"

Consult who didn't buy

"Hi {first name}, {provider} asked me to check in after your consult. Any questions about the plan you talked about? Happy to help."

Second touch, no reply

"Hi {first name}, just following up. If now isn't a good time, no problem. Reply here whenever you're ready to book."

On offers: a small, time-limited reason to book can help a stalled segment. Lead with the person and the provider, not the discount. Deep discounts brought cheaper leads in our team's data but fewer repeat patients.

Rules

Consent, opt-outs and privacy

  • Message only people who agreed. Past patients aren't automatically on a marketing list. Check consent before a promotional text or email goes out.
  • Make opting out easy and final. A STOP reply has to suppress every future text, across every workflow, not just the reactivation one.
  • Canada needs consent first. Canada's anti-spam law asks businesses to obtain consent before sending commercial electronic messages. In our team's data, consent rules meant nurture reached about 84% of Canadian leads, against 96% in the US.
  • Keep health details out of messages. Never name a treatment or condition in a subject line or text preview. Ask your compliance advisor whether HIPAA applies to your clinic and which tools need a business associate agreement.

This is a summary, not legal advice. Check your setup with your attorney or compliance advisor.

How we run it

The Patient Reactivation Sprint

The Patient Reactivation Sprint is our 30-day entry project. We run a reactivation campaign on your existing list, then leave a rebooking system in place so patients stop going dormant.

1

Audit the list

We look at how many past patients, unfinished packages, unsold consults and old leads you have, and what consent you hold for each.

2

Build and send

Segments, messages, reply handling and booking, set up in your CRM. We build it in GoHighLevel and connect your calendar, then send in batches your team can handle.

3

Report and hand over

You see patients contacted, replies, bookings and shows. Treatment-cycle rebooking stays switched on after the 30 days.

We share exact pricing after a free audit. Book your free audit and we'll tell you whether your list is big enough to be worth it.

Where it fits

Reactivation is one part of the patient system

Reactivation and rebooking run inside your med spa CRM, alongside lead follow-up and reminders. The email side, including cycle reminders and post-consult follow-up, is covered in med spa email marketing.

Rebooking pays most on repeat treatments. See how we keep neurotoxin patients on schedule in Botox marketing, and how a $210 first facial turns into a regular patient in Hydrafacial marketing. Every returning visit is also a chance to ask for a review; here's how we help clinics get more Google reviews.

As a med spa marketing agency, we report on patients who book and return, not on messages sent.

FAQ

Med spa patient reactivation questions

What is patient reactivation?

Patient reactivation is a campaign that contacts patients who haven't been back in a while and invites them to book again. For a med spa, that usually means past patients by last treatment, unfinished packages, unsold consults and old leads, each with its own message.

What is a database reactivation campaign?

It's a reactivation campaign run on your whole contact database at once: cleaned, checked for consent, split into segments and sent in batches, with replies answered quickly and booked into your calendar.

How many dormant patients come back?

In our team's data, a database reactivation campaign rebooked 7.9% of dormant patients across 66 clinics. The median clinic contacted 2,140 people, rebooked 169 and collected about $61,000 in 30 days. Results depend on your list.

What should a reactivation text say?

Keep it short and personal: the patient's first name, a named person at the clinic, a simple question and an easy way to book. Leave treatment details out of the text and let people opt out.

Should a reactivation campaign include a discount?

Lead with the person and the provider, not the discount. In our team's data, deeper discounts brought cheaper leads but dropped close rate 9 points and repeat rate 14 points. A small, time-limited reason to book can help a stalled segment.

How much does the Patient Reactivation Sprint cost?

It depends on your list size, your booking setup and what's already in place. We share exact pricing after a free audit.
